Frequently asked questions
Sixteen straight answers about pricing, scope, security and how we work day to day.
Section 01
Getting started
You book a 30-minute slot, we screen-share your current accounting file, and we review reconciliation status, chart of accounts, payroll setup and open filings together. You receive a short written note of what we found afterwards, whether or not you become a client. There is no charge and no automated sales follow-up.
We typically begin onboarding within one week of a signed engagement letter, and most clients are fully live inside three weeks. During January to April our capacity is tighter, so booking earlier helps.
Not usually. We work in QuickBooks Online, Xero, Gusto and several POS platforms. If your current setup is genuinely holding you back, we will explain why and quote the migration separately — never as a hidden requirement.
Section 02
Pricing and terms
Most owner-operated clients invest between $340 and $1,250 per month. Your fixed monthly quote depends on transaction volume, number of bank and card accounts, payroll headcount and the condition of prior records. The quote is issued in writing before any work begins.
There is a written engagement letter, but no minimum term. Either party may end the arrangement with 30 days' written notice, and your files are returned to you at no cost in their native format.
By ACH transfer or card, billed on the first business day of each month for that month's service. Clean-up projects are invoiced 50 per cent at start and 50 per cent on delivery.
No. Ordinary questions related to your engagement are included. If a request grows into a distinct project — a lender package, an entity restructure, a multi-year clean-up — we quote it separately and wait for your written approval.
Section 03
Scope and expertise
No. Clay Broussard Business Solutions is a bookkeeping, payroll and advisory practice. We are not licensed to issue audited financial statements, provide tax opinions or represent you before the IRS. We prepare records and workpapers, and we coordinate directly with your CPA or enrolled agent.
We prepare the year-end file, adjusting entries and depreciation schedules your tax preparer needs, and we handle Washington excise and payroll filings. Federal income tax returns are filed by your CPA or enrolled agent — we are glad to recommend several local practitioners.
We serve clients across Washington State and support out-of-state entities where a Washington operation is the primary business. Multi-state payroll is possible but quoted individually.
That is a routine engagement for us. We quote clean-up by period after a free file review, rebuild history methodically, and give you a written summary of every material correction.
Section 04
Working together
Barbara Davis oversees every engagement and reviews every monthly close. Day-to-day reconciliation and payroll are handled by Tom Beaudry and Renata Okafor, both of whom know your file.
Documents move through an encrypted client portal, never email attachments. We request accountant-level access inside your own software rather than sharing passwords, every staff account uses multi-factor authentication, and access is revoked the day an engagement ends.
Within one business day, and usually the same day. Payroll and filing-deadline matters are handled the same day without exception.
Yes. Our office is at 607 Castro Street, Olympia, Washington 98504. We also visit job sites, clinics and shops when it is easier to talk where the work happens.
