What we collect, why, how long we keep it and the rights you have.

Clay Broussard Business Solutions LLC ("we", "us", "our") operates the website at business.claybroussard.com and provides bookkeeping, payroll and advisory services from Olympia, Washington. This policy explains what personal information we collect, why we collect it, how we protect it and what rights you have. It applies to visitors of this website and to prospective clients who contact us.
1. Who is responsible for your information

2. Information we collect
2.1 Information you give us
- Enquiry details — your name, business name, email address, telephone number, the service you are interested in and anything you write in the message field of our contact form.
- Correspondence — the content of emails, letters and call notes relating to your enquiry or engagement.
- Client engagement information — where you become a client, the financial and payroll records necessary to perform the agreed services. This is governed by our engagement letter as well as this policy.
2.2 Information collected automatically
- Server logs — our hosting provider records the IP address, browser type, referring page, requested file and timestamp for each request. These logs exist for security and troubleshooting and are retained for a short period.
- Cookies — see our Cookie Policy. Non-essential cookies are set only after you accept them in the banner.
2.3 Information we do not collect
We do not knowingly collect information from children under 13. We do not buy contact lists, we do not run advertising trackers that build cross-site profiles, and we do not sell or rent personal information to anyone, for any purpose.

4. Sharing your information
We share personal information only where it is necessary, and only with:
- Service providers acting on our instructions — our website host, encrypted document portal, accounting and payroll platforms and email provider. Each is bound by contractual confidentiality and security terms.
- Your own advisers — for example your CPA, enrolled agent, attorney or lender, where you have asked us to coordinate with them.
- Government agencies — where a filing on your behalf requires it, such as the Washington Department of Revenue, Labor & Industries, Employment Security Department or the IRS.
- Authorities — where we are legally required to disclose information, or where disclosure is necessary to establish or defend legal claims.
We never share your information with advertising networks or data brokers.
5. How long we keep it
- Enquiries that do not become engagements: up to 24 months, then deleted.
- Client financial and payroll records: seven years after the end of the engagement, in line with IRS and Washington State expectations.
- Website server logs: typically 30 to 90 days, as configured by our host.
- Cookie consent records: stored in your own browser until you clear them or 12 months elapse.
6. How we protect it
Documents are transferred and stored through TLS-encrypted systems and encrypted at rest. We request accountant-level access within your own software rather than asking for shared passwords. Every staff account requires multi-factor authentication, access rights are reviewed quarterly, and access is revoked on the day an engagement ends. No system is perfectly secure, but if an incident affects your records we will notify you promptly and directly, with a written account of what occurred.
7. Your rights
Wherever you live, you may ask us to:
- confirm what personal information we hold about you and receive a copy;
- correct information that is inaccurate or incomplete;
- delete information we no longer need to keep for legal or contractual reasons;
- stop sending you any non-essential communication;
- withdraw a consent you previously gave, including cookie consent.
Washington residents may also exercise rights under the Washington My Health My Data Act where applicable, and residents of California, Colorado, Connecticut, Virginia and other states with comprehensive privacy laws may exercise the rights those laws provide, including the right not to be discriminated against for making a request. Because we do not sell or share personal information for cross-context behavioural advertising, there is nothing for you to opt out of in that respect.

8. International visitors
Our services are directed at businesses in the United States and our systems are hosted in the United States. If you contact us from outside the US, your information will be processed in the US, where data protection law may differ from that of your own country.
9. Third-party links
This website links to a small number of external sites, such as mapping and government agency pages. We are not responsible for the privacy practices of those sites and encourage you to read their policies.
10. Changes to this policy
We review this policy at least annually. Material changes will be reflected in the "last updated" date above, and where the change affects existing clients we will also notify them by email.
