Process

How we work

From the first call to your fourth quarterly review, here is exactly what happens and when.

The onboarding timeline

Most engagements are fully live within three weeks. Clean-up work runs alongside, so you are never waiting on history before current-month reporting starts.

Day 0 — Free consultation (30 minutes)

A screen-share review of your current file. We look at reconciliation status, chart of accounts, payroll setup and open filings. You leave with a short written note of what we found, whether or not you hire us.

Day 2 — Written scope and fixed quote

One page: deliverables, deadlines, monthly fee, cancellation terms. No auto-renewing multi-year agreements, no hourly surprises.

Days 3–7 — Secure access setup

You grant accountant-level access rather than sharing passwords. Documents move through an encrypted portal, never email attachments.

Days 7–21 — Clean-up and configuration

Historical corrections, chart of accounts rebuild, bank feed repair, app integrations and a written summary of every material correction made.

Monthly — Close by the 12th business day

Statements, a one-page plain-English summary and a short list of anything that needs your attention. Questions are answered within one business day.

Quarterly — Review meeting (60 minutes)

Trends, upcoming obligations, cash-flow outlook and any decision on your desk. In person at our Olympia office or by video, your choice.

Annually — Year-end package

Adjusting entries, depreciation schedules and a tidy workpaper file delivered directly to your CPA, plus a year-in-review conversation.

Security & data handling

How we protect your financial records

Encrypted transfer & storage

All documents move through a TLS-encrypted client portal and are stored encrypted at rest. We never ask you to email bank statements.

Least-privilege access

We request accountant-level roles inside your own software rather than shared credentials, and access is revoked the day an engagement ends.

Multi-factor everywhere

Every staff account uses hardware-backed multi-factor authentication, and access is reviewed quarterly.

Retention discipline

Records are retained for seven years to meet IRS and Washington requirements, then securely destroyed. Details are in our Privacy Policy.

Confidentiality by default

Client information is never sold, rented or shared for advertising purposes. Subcontractors are bound by written confidentiality terms.

Clear incident policy

If a data incident affects your records, you will be notified promptly and directly, with a written account of what happened.

What we ask from you

  • Statements or feed access for every bank, card and merchant account
  • Receipts for purchases over $75, uploaded through the portal
  • A named person we can reach when a transaction is unclear
  • Notice before major changes: new state, new hires, new entity
  • One hour per quarter for the review meeting
  • Honesty about anything unusual — we have seen it before
